How to write clear parking and access instructions for your crew

Five minutes of instructions saves wasted time at the curb.

  1. Put it in the job notes. Write where to park, which door to use and any access details the customer shared.
  2. Note limits. Add low clearances, narrow streets, permits or time limits for parking.
  3. Add the contact. Include who to call if nobody answers at the door.
  4. Send it before the visit. Techs should have it the night before, not at the door.
  5. Update it after the visit. If something was wrong, fix the note for next time.

Common questions

Is it safe to store gate codes in job notes?

Only share them with people who need them and remove them when the job ends. Treat them as private.

What if parking is a problem?

Ask the customer in advance and tell your crew where to unload.
