How to write an arrival window message

Tell customers when to expect you and what happens if you are late.

  1. Name the window. Give a start and end time instead of a single hour.
  2. Say who is coming. Include the technician's first name so the customer knows who to expect.
  3. Ask what you need. Mention access, parking, pets or a person over 18 being home.
  4. Give a way to reach you. Include one phone number that gets answered.
  5. Update if plans change. A short message about a delay is better than silence.

Common questions

How wide should the window be?

Two hours is common, but pick a window you can keep most days.

When should the message go out?

Many contractors send one the day before and one when the technician is on the way.
