How to write a simple note when you find hidden damage

Photos and a plain note protect both of you when a job reveals something nobody could see at the quote.

  1. Stop and take photos. Capture wide and close-up views before touching anything.
  2. Write what you see in plain words. Say where it is, how big it looks and what you think it means. Avoid guessing at the cause.
  3. Explain what it changes. Say whether the scope, price or schedule must change.
  4. Offer the options. For example: repair now, repair later, or get a specialist to look.
  5. Get the decision in writing. Ask the customer to reply to confirm before you continue.

Common questions

Should I name a cause for the damage?

Describe what you see. Leave diagnosis of cause to the right specialist where needed.
