How to write a simple job closeout email
A closeout email gives the customer a clear record and invites questions while the job is fresh.
- Thank them and name the job. One line with the address or job name and the date of completion.
- Summarize what was done. Three or four plain sentences, matching the invoice.
- Include care or maintenance notes. Anything they should do or avoid after the work.
- Explain the warranty or callback process. State what you covered and how to reach you, using only terms you actually offer.
- Attach the invoice and photos if useful. Keep the email short and put detail in the attachments.
Common questions
Is this the same as an invoice?
No. The invoice is the bill; the closeout email is a friendly summary that points to it.
Should I ask for a review here?
You can, but many contractors send that in a separate message a few days later.
