How to set up an end-of-day closeout routine for techs

A five-minute routine at the end of each job day keeps invoices, notes and inventory from piling up unfinished.

  1. Finish the job record. Make sure the work done, time and materials are entered before the tech leaves the site or the day ends.
  2. Capture photos. Upload the after photos and any photos of problems found.
  3. Flag unfinished items. List anything that needs a return visit, a part or a customer decision.
  4. Update stock. Note parts used from the truck so reorder lists stay accurate.
  5. Confirm tomorrow. Check the next day's first job, address and arrival window.
  6. Send it in. Submit the closeout so the office can invoice without chasing details.

Common questions

How long should it take?

Aim for five minutes per day. If it takes longer, trim the steps.

What if a tech skips it?

Review it in the weekly crew meeting. A routine that is checked tends to stick.
