How to return missed calls the same day
A fast callback often decides who gets the job.
- Check missed calls at set times. Midday and end of day at minimum, plus any time you finish a job.
- Return the call or send a short text. If you cannot talk, say when you will call back.
- Note the reason for the call. Write one line in the customer record so the next person sees it.
- Hand off if you are tied up. Let the office or another team member take callbacks when you are on a ladder.
- Track the ones you could not reach. Try again at a different time and leave one clear voicemail.
Common questions
How soon should I call back?
As soon as is practical. Many customers move on within hours, so same day is a good target.
Should I text instead?
A short text is fine when it matches how the customer contacted you. Only text customers who have agreed to receive texts.
