How to respond to a request for an itemized invoice

Customers ask for an itemized invoice for many reasons: insurance, a landlord, an employer, or plain curiosity. Treat it as a normal request.

  1. Say yes and give a date. Reply the same day with when they will have it.
  2. Break out labor, parts and fees. Show hours or a flat charge, each major part, trip or service charges, and any permit costs as separate lines.
  3. Match the quote. Use the same line names as the approved quote so the customer can compare.
  4. Explain changes briefly. If a line differs from the quote, point to the change order or message that approved it.
  5. Keep a copy with the job. Attach the itemized version to the job record so a repeat request takes seconds.

Common questions

Do I have to itemize if I quoted a flat price?

That depends on your contract and local rules. Many shops itemize on request as good service. Verify with your attorney.

What if the customer disputes a line?

Share the approval record for that line and offer to talk it through. Stay factual.
