How to manage material deliveries to a job site

A checklist that stops missing materials, damaged goods and blocked driveways.

  1. Confirm the delivery window. Ask the supplier for a time window and share it with the customer.
  2. Choose a drop spot. Pick a flat, dry place that does not block the driveway or the neighbors.
  3. Make sure someone is there to receive. Name a person on site to sign and count, even if it is the customer.
  4. Count and inspect on arrival. Check quantities and look for damage before the driver leaves.
  5. Photograph the delivery. Take photos of the pile and any damage with the delivery slip in view.
  6. Protect it from weather and theft. Cover materials and move valuables inside or off the pile at night.
  7. Note shortages the same day. Call the supplier right away and update the schedule if the job will be held up.

Common questions

Who is responsible if materials are stolen?

It depends on your contract and insurance. Read both and ask your insurance agent how deliveries are covered.

Should customers be told about deliveries?

Yes. A quick text the day before avoids surprise trucks and blocked driveways.
