How to keep a simple tool and equipment list

A short list of who has which tool and what it is worth makes losses, insurance claims and replacements easier.

  1. List the items that matter. Start with tools and equipment that are expensive or that stop work if missing.
  2. Record the basics. Write the item, brand, serial number if it has one, purchase date and where it normally lives.
  3. Note who has it. Mark the truck or person responsible, and update it when tools move.
  4. Photograph the big items. One clear photo per major item helps with insurance and recovery.
  5. Check quarterly. Walk each truck against the list four times a year and fix differences.
  6. Keep a copy off the truck. Store the list where a stolen or damaged truck cannot take it with it.

Common questions

How detailed should the list be?

Detailed enough to identify an item and prove you owned it. Skip small consumables.

Does this replace insurance records?

No. Talk to your insurance agent about what they require for a claim.
