How to keep a simple mileage log for your service vehicle

A clean log makes tax time and vehicle costs easier.

  1. Pick one place to log. A notebook in the truck, a note on the phone or your job records. Use one method.
  2. Record the basics. Date, starting odometer, ending odometer, job or purpose and the place.
  3. Log at the end of each day. Doing it daily is far easier than rebuilding a month from memory.
  4. Separate business and personal use. Mark personal trips so the totals stay clean.
  5. Total it monthly. Add the miles and the fuel and maintenance costs for each vehicle.
  6. Give it to your accountant. They can tell you which method applies to your situation.

Common questions

Which tax method should I use?

That depends on your business and location. Ask your accountant, since rules change.

Do I need this for every vehicle?

A separate log per vehicle keeps costs clear.
