How to handle a warranty claim

Handled well, a warranty claim keeps a customer for years.

  1. Thank them and listen first. Let the customer describe the problem before you explain anything.
  2. Check the original job record. Find the quote, photos and notes so you know what was promised.
  3. Visit and diagnose. Decide whether it is your work, a part, or something outside the warranty.
  4. Fix or explain in writing. If covered, set a date. If not, explain why and offer a paid repair.
  5. Log it. Record the cause so you can spot repeat problems.

Common questions

How long should a warranty last?
