How to handle a material shortage or delay mid-job
Keep the customer informed and the schedule moving when parts do not arrive.
- Confirm the delay. Call the supplier for a firm date and ask about substitutes before you tell the customer.
- Tell the customer early. Share what is delayed, the new date and what you can still do in the meantime.
- Offer options. Wait, use an approved equal substitute or reschedule. Get the choice in writing.
- Reuse the gap. Move other jobs into the open time so the crew stays productive.
- Price changes in writing. If a substitute changes cost, send a change order before installing it.
- Log it. Note the cause and date on the job so you can answer questions later.
