How to handle a customer who wants a written estimate before any site visit
Some customers want a number by text before you visit. A range with clear limits keeps expectations honest.
- Ask for photos and measurements. Photos, a rough size, and a short description give you a starting point.
- Offer a range, not a fixed price. Say the range is an estimate based on what you were shown.
- List what could change it. Hidden damage, access problems, code requirements or materials.
- Offer a site visit to firm it up. Explain what the visit includes and whether it has a fee.
- Keep the message in writing. Save the photos and your reply with the customer record.
Common questions
Can I refuse to give any number?
Yes. Some jobs cannot be priced responsibly without a visit. Say so politely and offer the next step.
Does a range commit me?
Word it as an estimate and say it is not a final quote. Ask your attorney about wording in your state.
