How to handle a customer who is not home when you arrive

A calm routine for missed appointments at the door.

  1. Call first, then wait a set time. Pick a wait time (for example 10-15 minutes) and apply it the same way every time.
  2. Note the time and what you tried. Write the arrival time, calls made and any message left.
  3. Take a photo of the address and door. A timestamped photo helps if there is a later disagreement.
  4. Offer the next open slot. Reschedule on the spot if you can, and confirm it in writing.
  5. Apply your own policy. Check your cancellation and trip-charge policy before charging anything, and tell customers the policy ahead of time.

Common questions

Can I charge a trip fee?

Only if your terms say so and the customer was told in advance. Rules vary, so verify with your attorney.

How long should I wait?

There is no single rule. Choose a window you can apply fairly to everyone.
