How to handle a customer who disputes the hours billed

Time-and-materials invoices invite questions. A clear record turns most disputes into a short conversation.

  1. Listen first. Let the customer say what feels wrong before you explain anything.
  2. Pull your notes. Show arrival and departure times, job notes and photos from the visit.
  3. Explain what the hours include. Travel, set-up, clean-up and waiting on parts may all be part of the total, if your terms say so.
  4. Offer a fair fix when you made a mistake. If a time entry is wrong, correct it quickly and say thank you.
  5. Update your quote wording. If the same question keeps coming up, explain billed time more clearly on the next quote.

Common questions

Should I give a discount to end the argument?

That is your call. A discount for goodwill is different from admitting an error, so record which one it was.
