How to document extra work with a change order
Write down new work and its cost before you do it.
- Describe the change. State what is being added or removed in plain words.
- Price it separately. Show the added cost and any added time next to the original quote.
- Get a yes in writing. A signed note, email reply or text approval creates a record.
- Update the schedule. Tell the crew and the customer how the change moves the finish date.
- Attach it to the job. Keep the change order with the original quote and the invoice.

Do small changes need a change order?
Many contractors write down every change, because small additions are the ones people remember differently later.
What if the customer approves by phone?
