Estimate vs quote vs proposal: what contractors should send
People use these words loosely, but customers read them differently. Pick one and say what it means.
- Estimate. A good-faith guess of cost. It can change as the job reveals more.
- Quote. A fixed price for a defined scope. Say how long it is valid.
- Proposal. A fuller document: scope, price, options, terms and photos.
- State what is excluded. List what is not included so surprises are not disputes.
- Set an expiry date. Material prices move; a quote that never expires becomes a liability.
Common questions
Which should I send first?
For quick service calls, a quote on site. For larger jobs, an estimate after a site visit, then a proposal.
Can I change a quote?
Only if the scope changes. Use a change order and document it.
