Tool and equipment tracking checklist for small contractors

Lost and unserviced tools cost real money. A short routine keeps track without heavy software.

  1. List what you own. Item, serial number, purchase date, who uses it.
  2. Assign each item to a person or truck. Someone is responsible for every tool.
  3. Check out and check in shared tools. A simple note is enough to start.
  4. Schedule service and calibration. Record the next due date for each item.
  5. Review losses quarterly. Replace or tighten rules where items go missing.

Common questions

Do I need special software?

Not at first. A spreadsheet works for a small crew.

Should tools be on my insurance?

Ask your insurance agent what is covered and what is not.
